  • Overview

    The Implementation Specialist is responsible for successful on boarding of new Client accounts. Act as point of contact for Client during project implementation. Oversees assigned training team and ensures quality of program throughout the implementation. Supports Client Service Management during transition from Implementation to ongoing site maintenance.


    • Point of Contact for Client during implementation; provides direct facility oversight during project implementations and new projects as assigned
    • Conducts initial workflow assessment of newly assigned account; ensures all necessary information is gathered from Client to meet Key Performance Indicators and program objectives
    • Collaborates with the Implementation Manager and Training & Education department to develop content and continuing education for assigned implementations to be approved by CMO
    • Gathers necessary information from Client for Human Resources, Information Systems, etc and communicates to internal departments to ensure smooth on boarding process for employees and training team
    • Collaborates with Talent Acquisition department to ensure successful on boarding experience for new employees
    • Collaborates with Implementation Manager to project and coordinate training resource needs
    • Responsible for quality of onsite training; when necessary, instructor for classroom training;
    • Responsible for managing classroom and clinical training schedule for new accounts and assigned projects; ensures schedule is up to date and accurately represents all training hours for payroll and invoicing purposes
    • Direct oversight of training team during implementation; provides coaching and development to ensure training team is following Clinical Training Guidelines and delivering the highest quality services to Clients. Responsible for developing a cohesive training strategy and communicating with training team through weekly team meetings, email correspondence, etc as necessary
    • Ensures on track with projected timeline; communicates with Client to provide updates on progress to reach 100% staffing projections
    • Once 90% completion of project is obtained, begins transition process with Account Management; communicates progress of expected project completion to Client and assigned Account Manager
    • Supports Account Management department and Client to ensure a successful transition from implementation to ongoing account management
    • In collaboration with corporate Talent Acquisition (TA) department, seeks out new recruitment and sourcing opportunities in new markets; conducts on-the-ground recruitment activities when necessary
    • Direct supervisor for new employees going through training; will escalate employee concerns and/or issues to Implementation Manager as
    • Provides feedback to ensure employees are kept informed of training progress. Determines remedial education if necessary on an individual basis based on employee evaluations; is responsible for processing resignations and terminations in accordance with ProScribe and Client policies and procedures.
    • Provides Implementation Manager weekly reports on progress of implementation ensuring Client and company objectives are attained and proactively assessed throughout implementation process
    • Ensure Quality Management protocols are followed during implementation; attends on-site meetings with clients as necessary
    • Provide continuous improvement review of processes and Scribe training; seeks feedback from clinicians and other stakeholders to drive further efficiencies and productivity within the organization
    • When necessary and based on business need, acts as an additional resource to the Training & Education department to assist with training activities, including: classroom training, virtual training, content development, clinical training, quality assurance, remedial education, etc
    • Must be available to travel up to 50%; expected to be onsite minimum 2 weeks during initial project ramp up
    • May be assigned other tasks and responsibilities as required to ensure assigned projects and/or implementations are completed timely and at highest level of quality


    Education/Experience: Bachelor’s Degree from accredited college, Science or Business preferred. One year experience required within a healthcare, medical setting; previous scribe experience preferred. Previous implementation and/or project management experience preferred. Combination of clinical experience and/or education will be considered. Excellent time management, coordination and communication skills required. Strong organizations skills with ability to work independently, manage workload and meet deadlines required. Ability to adapt and thrive in a growing and changing environment.
